Demo Passkey. Blue Line Lofts, Harbor & Vine Residential, and the staff, residents, reviews, employers, and platform signals in these files are fictional. The Franklinton neighborhood and public landmarks are real. Use this set to see how a complete Passkey is structured.

What Is This?

The Property Passkey is a structured, vendor-ready brief for Blue Line Lofts. It gives every supplier partner (website agencies, PPC teams, chatbot and leasing AI platforms, nurturing tools, reputation managers, resident experience apps) what they need to represent this property accurately, consistently, and strategically.

For operators: Maintain this once. Every connected vendor stays current.
For vendors: Read foundation.md first. Then pull only the files you need.
For platforms: Core files follow a predictable schema. Extended files are listed in the Extension Registry below.

Job 3 — Extension Registry

Extended files follow the x- naming convention and are documented here. Vendors should check this section for property-specific content that may be relevant to their work.

x-preferred-employers.md

Purpose: Details the Preferred Employer Program: waived application and admin fees plus a reduced security deposit for employees of partner employers. Includes the current partner list, approved messaging, and guidance for leasing teams.
Relevant for: PPC (separate ad group), chatbot (trigger when an employer is mentioned), leasing teams
Added by: Operator | Date: 2026-09-01

Reserved: x-asset-* files

Optional deep detail on the physical asset, for operators who want it. Each references asset.md IDs (e.g. AE-2026-003, SYS-roof).

  • x-asset-capex.md: budgets and costs. Must declare access: protected in its header.
  • x-asset-warranties.md: warranty terms and expirations by system.
  • x-asset-unit-turns.md: home-by-home renovation history.

None are active for this property.

Adding New Extended Files

Operators and vendor partners may propose new extended files when existing core files don’t accommodate a content need. To add an extended file:

  1. Name it with the x- prefix (e.g., x-renovation.md, x-lease-up.md)
  2. Add it to this registry with purpose, audience, and date
  3. Add the standard metadata header (see any existing file for format)
  4. Log the addition in changelog.md

Vendors may propose extended files. Operators must approve before a file becomes active.

Governance

Who can read: All connected vendor partners
Who can update core files: Operator only (or with operator approval)
Who can write to signals.md: Any connected platform. Operator review is required before signals influence active content.
Who can propose extended files: Any vendor. Operator approval is required to activate.

Content Authority Levels

Every piece of content in this Passkey carries one of three confidence levels, noted in file headers:

  • operator-verified — Confirmed directly by property management. Treat as authoritative.
  • inferred — Derived from public sources, reviews, or research. Use with reasonable confidence; flag if something conflicts.
  • platform-suggested — Submitted by a connected vendor platform. Requires operator review before use in active marketing.
Freshness & Review Cadence
  • Each file’s header shows last_updated. Files that mix sources add a sections: map: pms sections are refreshed by the property management feed; operator sections carry last_verified and an optional review_every.
  • Confirming a section is still accurate counts as verification, even with no edits.
  • Property-wide defaults live in this file’s header (defaults:): how long time-limited claims like “newly renovated” last, and how often sections are reviewed. A value set on a specific project or section overrides the default.
  • Durations are written Nd, Nw, Nm, or Ny (e.g. 90d, 12m).
  • When a project in asset.md completes, the sections it lists under affects: show as needing review until someone confirms them.
Vendor Permissions
  • ✅ MAY adapt tone for your specific channel (see channels.md)
  • ✅ MAY suggest copy variations for operator review
  • ✅ MAY submit signals and FAQ gaps to signals.md
  • ✅ MAY propose new extended files
  • ❌ MAY NOT change core positioning or differentiators without approval
  • ❌ MAY NOT override Fair Housing language guidelines (see brand.md)
  • ❌ MAY NOT publish platform-suggested content without operator sign-off

Property Passkey is an open standard for multifamily marketing.

The physical building: major systems, home finishes, and every renovation or project, with what vendors can say and until when.

Operator-verifiedv1.0 · Updated 2026-10-07 by operator

Asset: Blue Line Lofts

Demo Passkey: fictional property. See foundation.md.

This file records the physical building: its major systems, its home finish packages, and every project that changes what the property offers. property.md says what is true today. This file says what changed, what is underway, and what is planned.

For vendors:

  • Under construction now? Check Projects & Events and use each project’s prospect_messaging while it is in progress.
  • Can I say “newly renovated”? Only for claims listed on a complete project, and only until the claim’s end date. After it expires, stop using it everywhere.
  • Not marketable? Register rows marked no are context for answering questions accurately. Do not feature them in ads.

How to add a project: add a fenced yaml block under Projects & Events (copy an existing one), give it the next ID (AE-YYYY-NNN), and log it in changelog.md. When it finishes, set status: complete, add actual_complete, and move it to Completed Projects.

Brand — Blue Line Lofts

Demo Passkey: fictional property. See foundation.md.

Brand Identity

Community Name: Blue Line Lofts
Core Brand Idea: A real piece of Columbus history, rebuilt for how people live and work now, one bridge from downtown.
Brand Feeling: Grounded, creative, neighborly. Proud of the building’s past without being precious about it.

Voice & Tone

We Sound Like
  • A neighbor who knows the building’s story and the best coffee on the block
  • Confident about the building’s character, without overselling it
  • Plainspoken and specific. We name the brick, the trusses, the bridge
  • Part of Franklinton’s arts-and-makers culture, not looking down on it
We Do Not Sound Like
  • A luxury tower (“elevated living,” “curated lifestyle,” “unparalleled”)
  • A developer brochure full of made-up words (“live-work-play,” “urban oasis”)
  • A property trying to sound edgier than it is
  • Generic apartment copy that could belong to any building in any city

Personality Adjectives

Primary: Authentic, Creative, Connected, Dependable
Secondary: Unpretentious, Curious, Practical, Local

Brand Positioning Statement

(for internal use; informs all vendor work)

Blue Line Lofts is for renters who want an apartment with real character and an easy trip downtown, without paying downtown prices. The building has a story, the team shows up, and the neighborhood has its own creative energy. It’s not the newest building in Columbus. It has more character than the new ones.

Language Rules

Always
  • Lead with the building’s story: 1924 streetcar barn, original brick and steel, oversized windows
  • Frame location as “across the bridge,” close to downtown in distance but with its own neighborhood identity
  • Make included utilities explicit: internet, water, sewer, trash
  • Mention work-from-home features where relevant: gigabit Wi-Fi, co-working lounge, call rooms
  • Use specific details over adjectives: “14-foot ceilings” beats “spacious”
Never
  • Use vague luxury framing: “luxury,” “world-class,” “upscale,” “exclusive”
  • Invent history. Use only the building facts in property.md
  • Describe Franklinton as “up-and-coming,” “transitional,” or “gritty.” These words are condescending to long-time residents and can carry coded meaning
  • Use language expressing preference for any resident type (see Fair Housing below)
  • Fabricate amenities, specials, or details not found in property.md
Preferred Vocabulary
Instead of… Use…
Units Homes / lofts
Prospects Future residents
Industrial-chic Original brick and steel
Luxury / upscale Well-designed / thoughtfully restored
Up-and-coming neighborhood Franklinton / the arts district west of downtown
Live-work-play [Say the specific thing: walk to COSI, bike to downtown]

What Makes This Brand Distinctly Blue Line Lofts

Proof points from resident reviews (fictional for this demo). Use them; they’re verified:

  • Staff residents name by name: “Priya in the office and Jordan in maintenance make this place” appears unprompted in multiple reviews
  • The building itself: residents mention the brick, the ceiling height, and the light from the original windows more than any other feature
  • Fast maintenance: same-day or next-day repairs cited as a reason to renew
  • Rooftop community: monthly rooftop gatherings and art-walk nights come up often as how residents met their neighbors
  • Work-from-home friendly: reliable Wi-Fi and the co-working lounge are frequent positives from remote workers

What We’re Not

(Use this to prevent over-positioning)

  • Not a luxury high-rise. Don’t imply $3,000+/mo tower living
  • Not new construction. It’s thoughtfully restored, and the history is the point
  • Not a downtown address. It’s across the river, and that’s an advantage
  • Not a party building. The culture is creative and social, but also residential and respectful

Fair Housing Guidelines

All marketing content must comply with the Fair Housing Act and Ohio fair housing law:

  • No language expressing preference, limitation, or discrimination based on race, color, religion, sex, national origin, disability, familial status, or any other protected class under state or local law
  • No coded language implying the community is for (or not for) any demographic. Avoid “young professionals,” “perfect for singles,” “ideal for students,” “mature,” and similar phrasing
  • Neighborhood descriptions: Describe places and things to do. Don’t characterize who lives in Franklinton
  • Familial status note: Two-bedroom homes and nearby parks are facts that are fine to mention. Don’t frame the building as not suitable for children
  • When in doubt, describe the home and community, not who should live there

Flag any Fair Housing concern to the marketing contact in foundation.md before publishing.

audience.md

Why people choose the property: personas built on motivation, not demographics.

Inferredv1.0 · Updated 2026-09-01 by operator

Audience — Blue Line Lofts

Demo Passkey: fictional property. See foundation.md.

Confidence note: Personas are inferred from resident reviews, the property profile, and location context. The operator should verify and refine them against actual leasing data.

Who Lives Here

Blue Line Lofts attracts a broad range of renters who share a few priorities: character over cookie-cutter finishes, a short trip downtown, and a home that works for working from home. Residents include people working downtown, remote and hybrid workers, graduate students, medical staff on rotating schedules, artists, and people relocating to Columbus. Marketing should reflect that breadth without targeting any specific demographic.

What Motivates the Decision

Top decision drivers across all resident types:

  1. Character: original brick, steel, and ceiling height that new buildings can’t replicate
  2. Location: across the bridge from downtown, walkable to the riverfront, COSI, and Franklinton’s arts scene
  3. Value: internet, water, and trash included; rent below comparable downtown and Short North buildings
  4. Work-from-home setup: gigabit Wi-Fi, co-working lounge, and in-unit washer/dryer
  5. Management trust: responsive staff and fast maintenance drive renewals

Renter Personas

These represent motivations and decision factors, not demographic targets. Use them to understand why people choose Blue Line Lofts, not to narrow who we market to.

Persona 1: The Downtown Commuter

Situation: Works downtown, in the Arena District, or at a nearby hospital campus
Primary need: A short, predictable commute and a neighborhood that feels like home after work
Why Blue Line Lofts: Five minutes by car, twelve by bike. Garage parking and bike storage both available.
Risk of losing them: Slow follow-up, parking uncertainty, pricing that looks higher than downtown once parking is added

Persona 2: The Remote or Hybrid Worker

Situation: Works from home three or more days a week
Primary need: Reliable internet, a place to take calls, and a home that doesn’t feel like an office
Why Blue Line Lofts: Gigabit Wi-Fi included. Co-working lounge and bookable call rooms. The Junction’s den works as a home office.
Risk of losing them: Any doubt about internet reliability; a tour of a dark, small home

Persona 3: The Columbus Newcomer

Situation: Relocating to Columbus for a job or school, often touring virtually from out of state
Primary need: Confidence in a neighborhood they don’t know yet, and a fast, clear leasing process
Why Blue Line Lofts: Central location makes the rest of the city easy to explore. Monthly events help people meet neighbors. Virtual tours and remote leasing available.
Risk of losing them: Slow response while they’re comparing options; marketing that assumes they know Columbus neighborhoods

Persona 4: The Character Seeker

Situation: Has lived in new-construction apartments and wants something with more personality
Primary need: A home that feels distinctive, in a neighborhood with its own identity
Why Blue Line Lofts: A real 1924 building. Franklinton’s galleries, studios, and art walk. Rooftop views of the skyline.
Risk of losing them: Photos that make the building look like any other; over-polished “luxury” copy that undercuts authenticity

What Prospects Are Searching For

  • “Lofts in Columbus Ohio”
  • “Franklinton apartments”
  • “Apartments near downtown Columbus”
  • “Historic loft apartments Columbus”
  • “Apartments with washer and dryer Columbus”
  • “Pet-friendly apartments downtown Columbus”
  • “Studio / 1 bedroom / 2 bedroom apartments Columbus 43215”
  • “Apartments near COSI” / “Apartments near Scioto Mile”

Tone Notes

  • Write to someone comparing three or four buildings. Lead with what’s specific here: the building, the bridge, what’s included
  • Building history is a proof point, not a museum placard. Keep it to one or two sentences
  • The neighborhood is part of the pitch. Name real places, not “vibrant surroundings”
  • Don’t talk down to anyone. Residents chose this building for real reasons and refer their friends

goals.md

What ownership is trying to achieve, so partners can make strategic calls.

Goals — Blue Line Lofts

Demo Passkey: fictional property. See foundation.md.

This file gives vendor partners context on what ownership and management are trying to accomplish. Use it to make strategic decisions, not just executional ones.

Ownership & Management

Field Value
Management Company Harbor & Vine Residential
Asset Type Conventional market-rate
Property Profile 1924 streetcar barn converted in 2019, 118 homes, Franklinton, Columbus OH
Long-Term Asset Strategy Long-term hold; protect the building’s character and grow net operating income through retention

Current Priorities

Priority Goal Status
Primary Hold occupancy at 95%+ through the winter leasing slowdown Needs attention: 93.2%
Secondary Raise renewal rate from 52% to 58% On track: 55% trailing 90 days
Tertiary Grow Google reviews to 250 at 4.6+ stars by Q1 2027 On track: 4.6 stars, 204 reviews

Current Occupancy: 93.2%
Target Occupancy: 95%
Review Target: 250 reviews at 4.6+ stars by Q1 2027

What Success Looks Like

Near-Term (90 days)
  • Done: All vendor partners connected to the Passkey, with consistent messaging across channels
  • Not done: Nurturing sequences customized beyond platform defaults
  • Not done: Studio and 2BR vacancies leased before December 15
  • Not done: Two new Preferred Employer partners signed
12-Month
  • Not done: Occupancy at or above 95% for 10 of 12 months
  • Not done: Google rating maintained at 4.6+ with 250+ reviews
  • Not done: Renewal rate at or above 58%
  • Not done: Average lead-to-tour time under 24 hours

Strategic Context

What’s Working — Protect These
  • The building’s character is the reason people tour. Photography and copy must show real brick, trusses, and light
  • Staff responsiveness drives renewals and reviews. Keep it front and center
  • Community programming: rooftop gatherings and art-walk nights help retention as much as marketing
Competitive Awareness
  • Several new mid-rise buildings have opened in Franklinton and along the riverfront since 2023, many with lease-up concessions
  • New buildings will have newer finishes and bigger amenity packages. Blue Line Lofts competes on character, included utilities, and staff. Don’t try to out-amenity new construction
  • Studios face the most concession pressure; lead with value (included internet, in-unit laundry) for The Conductor

Marketing Investment Priorities

Channel Priority Notes
Website / SEO High Primary lead source; “Franklinton” and “lofts Columbus” terms
Google Business Profile High Reviews are a primary trust signal; active response required
Paid Search (PPC) High Competitive; new lease-ups are bidding on neighborhood terms
ILS Listings Medium Apartments.com, Zillow; keep in sync with the Passkey
Email Nurturing Medium–High Biggest opportunity; currently close to platform defaults
Social Media Medium Building details and neighborhood content outperform promos
Preferred Employer Program Medium Hospitals and downtown employers are an untapped pipeline

Escalation Triggers

Flag immediately to the marketing contact in foundation.md:

  • Negative review mentioning safety, staff, maintenance, or noise; needs a prompt, thoughtful response
  • Copy using luxury or premium positioning that doesn’t match the price point
  • Any Fair Housing concern in any content
  • Pricing, availability, or special conflicts between channels

Channels — Blue Line Lofts

Demo Passkey: fictional property. See foundation.md.

Use alongside brand.md. This file adjusts tone and tactics for each channel. It doesn’t replace the core voice.

Website

Platform: WordPress with a live availability feed from the property management system (bluelinelofts.example)
Primary Goal: Turn visitors into tour requests; rank for Franklinton and Columbus loft searches

Content Priority Order:

  1. The building: 1924 streetcar barn, original brick and steel, ceiling height, light
  2. Location: across the bridge from downtown, walkable riverfront and arts district
  3. What’s included: internet, water, sewer, trash
  4. Floor plans and amenities (lead with in-unit laundry and co-working)
  5. Neighborhood guide and community events

CTA Preferences:

  • Primary: “Schedule a Tour” / “See Available Lofts”
  • Secondary: “Take the Virtual Tour” / “Explore Franklinton”
  • Avoid: Leading with “Apply Now” before the prospect has engaged

SEO Targets:

  • Primary: “Franklinton apartments,” “lofts in Columbus Ohio,” “apartments near downtown Columbus”
  • Secondary: “historic loft apartments Columbus,” “pet-friendly apartments 43215,” “apartments near COSI”
  • The availability feed provides structured data. Don’t add conflicting schema markup

Paid Search (PPC)

Tone: Concise, specific, benefit-forward. Every word earns its place.

Approved Headline Themes:

Theme Example Headline
Character “Real 1924 Lofts in Franklinton”
Character “14-Ft Ceilings & Original Brick”
Location “5 Minutes to Downtown Columbus”
Value “Internet, Water & Trash Included”
Value “Lofts from $1,195/mo”
Work from home “Gigabit Wi-Fi + Co-Working Lounge”
Staff “An On-Site Team That Responds”

Avoid: “Luxury lofts,” “urban oasis,” “live-work-play,” “up-and-coming,” any generic filler

Campaign Notes:

  • Preferred Employer Program gets its own ad group; see x-preferred-employers.md
  • Remote-work angle gets its own ad group (co-working, Wi-Fi, The Junction’s den)
  • Competitor lease-ups bid on “Franklinton apartments.” Don’t match concession language; lead with what’s included and the building
  • Check specials.md before launching. Active specials should appear in ad copy with their expiration date

Chatbot / Leasing AI

Tone: Warm, knowledgeable, a little proud of the building. Should feel like talking to the front office.

What Good Sounds Like:

“Blue Line Lofts is a 1924 streetcar barn we converted into lofts, so you get original brick, steel trusses, and ceilings up to 14 feet. We’re just across the river from downtown, about a five-minute drive or a twelve-minute bike ride. Are you working downtown, or mostly from home?”

What to Avoid:

“Welcome to Blue Line Lofts! Experience elevated urban living in Columbus’s most vibrant up-and-coming neighborhood. How can I assist you today?”

Key Topics to Surface Proactively:

  • Building history and loft features
  • What’s included (internet, water, sewer, trash)
  • Commute to downtown and parking options
  • In-unit washer/dryer and co-working lounge
  • Pet policy
  • Preferred Employer Program if an employer is mentioned
  • Active specials from specials.md

Objection Responses: See nurturing.md for the full objection library

Fair Housing Note: Review all response templates. Describe the community and homes, not who should live there.

Escalation Triggers — hand off to a human when:

  • Prospect expresses frustration or urgency
  • An accommodation or accessibility question comes up
  • A complaint or maintenance issue is raised
  • The conversation exceeds 8 turns without resolution

Email Nurturing

Platform: Demo CRM / nurturing platform (fictional)

Sequence Priorities:

Touch Timing Focus
1 Immediate Confirm the inquiry; respond to what they asked about
2 Day 2–3 The building: photos of real brick, windows, and ceilings
3 Day 5–7 Neighborhood and community: art walk, rooftop nights, riverfront
4 Day 10–14 Social proof or a specific availability update
5+ Ongoing Light, helpful touches; don’t oversend

Subject Line Direction:

  • Avoid: “Don’t miss out!” / “Your dream loft awaits!” / “Special offer inside”
  • Prefer: Specific and human, e.g., “About that studio at Blue Line Lofts” / “What 14-foot ceilings actually look like” / “A few things worth knowing about Franklinton”

Personalization Hooks:

  • Floor plan asked about → reference it directly
  • Works downtown or at a named employer → commute time, Preferred Employer check
  • Works from home → Wi-Fi, co-working lounge, The Junction
  • Has a pet → dog run and pet wash; pet-friendly with no weight limit
  • Relocating → neighborhood orientation, virtual tour, remote leasing

What Good Sounds Like:

“Thanks for asking about The Junction. Since you mentioned working from home most days, I wanted to point out the den: most residents who choose that plan use it as an office, and internet is included in rent. We have one available November 1. Want me to set up a video walkthrough?”

Full objection library and FAQ pairs: See nurturing.md

Reputation / Reviews

Priority Platforms: Google Business Profile (primary), Apartments.com, Yelp
Response Tone: Genuine, specific, never templated. Copy-paste responses undercut the “responsive team” positioning.

Positive Response Model:

“Thank you, we’re so glad the loft feels like home and that the team has taken good care of you. We’ll pass your note along to [name if mentioned]. See you on the roof next month!”

Negative Response Model:

“We’re sorry this wasn’t the experience we want every resident to have. We’d like to make it right. Please reach out to us directly at (614) 555-0142 or leasing@bluelinelofts.example so we can talk it through.”

Social Media

Active Platforms: Instagram, Facebook (demo handles in property.md)

Content That Performs:

  • Building details: brick, trusses, window light at different times of day
  • “Then and now” posts using historic photos of the streetcar barn [confirm image rights]
  • Rooftop sunset and skyline shots
  • Art walk and rooftop event recaps (with permission)
  • Neighborhood features: galleries, riverfront trail, COSI, game days at Lower.com Field
  • Staff highlights and behind-the-scenes

Avoid:

  • Stock photography
  • Generic “Happy Monday!” filler content
  • Promotional posts that feel like ads
  • Any content implying a demographic preference

Caption Voice: Casual, warm, a little nerdy about the building. Neighbor, not brand manager.

Nurturing — Blue Line Lofts

Demo Passkey: fictional property. See foundation.md.

This file is the primary reference for leasing AI platforms, chatbot tools, and email nurturing systems. It provides objection responses, FAQ pairs, sequence logic, and escalation rules specific to Blue Line Lofts.

Objection Library

Approved responses to the most common prospect hesitations. Platforms should use these as guidance for tone and substance, not necessarily verbatim.

“Why not just live downtown?”

A lot of residents compared both. Downtown is about five minutes away by car or twelve by bike, and rent here usually comes in lower than comparable downtown buildings, with internet, water, and trash already included. You also get a neighborhood with its own personality: galleries, the riverfront trail, and COSI down the street. What part of downtown are you headed to most?

“Is parking a hassle?”

Not really. There’s a surface lot included with your lease, and reserved garage spaces are $95 a month if you’d like a guaranteed spot under cover. We also have six EV charging spaces in the garage. Would you want a garage space?

“Older buildings are drafty and loud, aren’t they?”

Fair question. The 2019 renovation added new insulation, new HVAC in every home, and upgraded window seals while keeping the original window frames. Floors between homes have sound-dampening underlayment. The best way to judge is in person. We can show you a home next to an occupied one so you can hear for yourself.

“The rent seems high for a studio.”

Internet, water, sewer, and trash are included, and every home has a full-size washer and dryer. Once you add those up elsewhere, the comparison usually looks different. Happy to walk through the math with you.

“I saw a mixed review about [maintenance / noise / parking].”

Thanks for doing your homework. We take maintenance seriously; most requests are handled same-day or next-day. If you’d like, I can connect you with our team to talk through any specific concern.

“Do you allow pets?”

Yes. You can have up to two pets, and there’s no weight limit. There’s a $350 one-time pet fee and $35 a month per pet. We also have a fenced dog run and a pet wash station. What kind of pet do you have?

“Is it safe?”

The building has controlled-access entry, keyless entry to every home, 24-hour package lockers, and a staffed office six days a week. We’d love for you to visit in person and walk the neighborhood. Most people get a good feel for it on a tour.

“I’m not ready to move yet, just looking.”

No pressure at all. Lofts with the longer windows tend to go first, so it can help to tour early. Would a tour in the next few weeks work, or would you rather I just keep you posted on availability?

“Do you have any specials right now?”

Let me check what’s current. [Pull from specials.md.] If nothing is active: “We don’t have a formal special right now, but ask our leasing team. They’re always happy to help find the right fit.”

Sequence Logic

Guidance for how nurturing sequences should be structured for Blue Line Lofts. Platforms should configure sequences to reflect this logic.

Timing
  • Immediate (within 5 min of inquiry): Acknowledge and personalize; reference what they asked about
  • Day 2–3: The building: real photos, one sentence of history
  • Day 5–7: Neighborhood and community: art walk, rooftop nights, riverfront
  • Day 10–14: Social proof or a specific availability update
  • Day 21+: Light-touch check-in; don’t oversend
  • Stop the sequence when: The prospect tours, applies, says they found somewhere else, or asks to be removed
Personalization Priority
  1. Floor plan or bedroom count they asked about
  2. Where they work (downtown, hospital, remote) if mentioned
  3. Pet, if mentioned
  4. Whether they’re relocating or already in Columbus
  5. How they found Blue Line Lofts (if captured)
When to Stop Automating and Go Human
  • Prospect expresses frustration in any message
  • Question involves accommodation, accessibility, or disability
  • Complaint about current residents, staff, or the property
  • Question can’t be answered from any content in this Passkey. Don’t guess

Escalation Rules

Trigger Action
Prospect uses urgent language (“I need to move this week”) Escalate to the leasing team immediately
Accessibility or accommodation request Escalate to management; don’t attempt to answer in automation
Fair Housing-adjacent question Escalate; don’t attempt to answer in automation
Maintenance complaint from a prospect Acknowledge, escalate to the leasing team
Negative sentiment in 2+ consecutive messages Pause sequence, escalate to a human
Prospect asks to speak to a person Stop automation immediately

Tone Calibration by Stage

Stage Tone
First contact Warm, welcoming, curious; ask what brought them here
Warm lead (toured or engaged) Helpful, specific, low pressure
Application pending Efficient, supportive, clear on next steps
Post-tour silence One gentle check-in, then rest. Don’t chase
Declined / chose elsewhere Gracious: “We’d love to have you if things change”

specials.md

Current incentives with expiration dates and approved channels. Changes most often.

  • Available to employees of partner employers

See x-preferred-employers.md for the current partner list and approved messaging. Doesn’t stack with the Tour & Apply admin fee waiver.

  • Never imply a special is available if it’s not confirmed here
  • Don’t extend a special in marketing copy without operator approval
  • Respect the Approved Channels column
  • For chatbot / AI: pull from this file. Don’t improvise specials that aren’t listed

fees.md

Every fee, deposit, and the all-in monthly cost by floor plan, structured for fee transparency platforms.

Operator-verifiedv1.0 · Updated 2026-09-29 by operator

Fees — Blue Line Lofts

Demo Passkey: fictional property. See foundation.md.

This file is the single source of truth for every fee, deposit, and recurring charge at Blue Line Lofts. If a fee isn’t listed here, don’t quote it. Base rent lives in property.md; discounts and waivers live in specials.md and x-preferred-employers.md. Structure follows the Engrain SightMap Expenses model so platforms can map each row directly (see “Platform Mapping” below).

Fee disclosure rules are tightening at the federal, state, and listing-site level. When you show a price, show the total. Check the last_updated date before publishing; if it’s more than 30 days old, verify with the marketing contact in foundation.md.

Total Monthly Cost

What a resident actually pays each month, by floor plan. Use this whenever rent is advertised with a total price.

Plan Name Base Rent Required Monthly Fees (billed by property) Est. Electric (billed by AEP Ohio) Est. Total Monthly

Not in the estimate: renters insurance (required, resident’s choice of provider, typically $10–$20/mo) and optional add-ons like pets and garage parking.

The short version: Blue Line Lofts has no required monthly fees on top of rent. Internet, water, sewer, and trash are included. Residents pay rent, their own electric, and their own renters insurance.

Move-In Cost Summary

What We Don’t Charge

These are common in the market. Blue Line Lofts doesn’t charge them. Useful for comparison copy and for answering “Are there any hidden fees?”

  • No monthly amenity fee
  • No technology, internet, or smart-home package fee
  • No valet trash fee
  • No package locker fee
  • No pest control fee
  • No utility billing admin fee
  • No refundable pet deposit
  • No fee to book the call rooms or use the bike room

Waivers and Discounts

Fee reductions come from other files. Don’t combine them unless noted.

Program Fee Effect Source
Tour & Apply Admin fee waived ($250) when applying within 48 hours of a tour. Expires 2026-11-30 specials.md
Preferred Employer Program Application and admin fees waived; security deposit reduced to $200 x-preferred-employers.md

Preferred Employer and Tour & Apply don’t stack. The admin fee can only be waived once.

Guidelines for Using Fees

  • Show the total. When advertising rent, include required fees or link to this schedule. Blue Line Lofts has no required monthly property fees, so the honest total is rent plus estimated electric
  • Never say “no fees.” There are application, admin, and situational fees. Say “no monthly fees on top of rent” instead
  • Keep third-party costs labeled. Electric, renters insurance, and EV charging are paid to other companies. Don’t present them as property charges
  • Quote from this file only. Chatbots and leasing AI should pull fee answers from here. Don’t estimate or round differently
  • Fees apply equally to everyone. Same amounts for every applicant, every plan, every channel (Fair Housing; see brand.md)
  • Assistance animals are not pets. No pet charges, ever
  • If a fee question isn’t answered here, escalate per nurturing.md and log the gap in signals.md

Platform-suggestedv1.5 · Updated 2026-10-07 by operator

Signals — Blue Line Lofts

Demo Passkey: fictional property. The platforms and data below are illustrative examples. See foundation.md.

This file receives structured intelligence from connected vendor platforms. It is a write-back destination, not a read-only file.

Write access: Any connected platform may submit signals to this file using the format below.
Operator review is required before any signal influences active content in other Passkey files.
Cadence: Platforms should submit signal updates no more than weekly to avoid review overload.

How to Submit a Signal

Add an entry under the relevant section using this format:

**[Date] | [Platform Name] | [Signal Type]**
> [Plain-language description of the signal]
> Suggested action: [What the platform recommends, if anything]
> Status: submitted | under-review | accepted | declined

Prospect Objections

Ranked patterns from leasing AI and nurturing platform conversations.

2026-09-19 | Demo Leasing AI | Objection Pattern

“Why not just live downtown?” came up in 27% of September conversations, the most common objection. Prospects who got the included-utilities comparison booked tours at nearly twice the rate of those who didn’t.
Suggested action: Move the included-utilities comparison earlier in the “Why not downtown” response in nurturing.md.
Status: submitted

2026-09-05 | Demo Leasing AI | Objection Pattern

14 prospects asked whether an older building is drafty or noisy. No approved response existed.
Suggested action: Add an objection response covering the 2019 insulation, HVAC, and sound-dampening work.
Status: accepted (added to nurturing.md 2026-09-08)

FAQ Gaps

Questions prospects asked that the platform couldn’t answer confidently.

2026-09-10 | Demo Leasing AI | FAQ Gap

9 prospects asked about cell phone reception inside the building. The Passkey had no answer, so the chatbot escalated each one.
Suggested action: Operator to confirm coverage and add an FAQ pair to nurturing.md.
Status: accepted (added to nurturing.md 2026-09-22)

Sequence Performance

What’s working and what’s not in nurturing sequences.

2026-09-12 | Demo Nurturing Platform | Sequence Performance

The Day 2–3 building email with the subject “What 14-foot ceilings actually look like” has a 46% open rate, compared with 22% for the generic “Checking in about Blue Line Lofts” follow-up.
Suggested action: Replace generic follow-up subject lines with specific building details across the sequence.
Status: under-review

2026-09-12 | Demo PPC Platform | Keyword Opportunity

“Luxury apartments Columbus” has 6x the search volume of “lofts Columbus.”
Suggested action: Add “luxury” to headline copy.
Status: declined. Conflicts with brand.md language rules. The operator approved bidding on the keyword with existing character- and value-led headlines instead.

Resident Sentiment

Themes from resident-facing platform surveys, maintenance patterns, event participation.

2026-09-16 | Demo Resident App | Resident Sentiment

The co-working lounge was the most-mentioned amenity in the September resident survey (31 of 64 responses), ahead of the rooftop. It’s currently fifth in property.md differentiators.
Suggested action: Consider moving work-from-home features higher in differentiators and PPC.
Status: submitted

Reputation Patterns

Themes surfaced from review monitoring.

2026-09-18 | Demo Reputation Platform | Review Theme

3 of the last 8 reviews mention package lockers being full on weekends, with packages left in the lobby.
Suggested action: Flag for management. If addressed, add a response model to channels.md and a resident FAQ.
Status: under-review

Asset Changes Suspected

Signals that the physical property may have changed (invoices, permits, reviews, feed changes). Operator review turns an accepted signal into an asset.md project. Detectors never edit other files directly.

2026-10-02 | Demo Reputation Platform | asset-change-suspected

2 recent reviews mention “new lights and shelving” in homes on the third floor. No matching project exists in asset.md.
Suggested action: Confirm whether these homes are part of the Signature refresh and update the package’s home count.
Status: submitted

Operator Notes

Operator-only context on any signals above. Platforms should not write to this section.

  • 2026-09-20: Package locker capacity is a known issue. Six additional lockers are on order for November. Hold any public response until they’re installed.
  • 2026-09-22: Reviewing the co-working sentiment signal alongside the downtown-objection signal before reordering differentiators.

Community Standards

Framed as community norms, not a lease violation list. Full rules are in the lease agreement.

  • Noise: Brick is beautiful but it echoes. Quiet hours are 10pm–7am
  • Rooftop: Open 7am–11pm. Clean the grill after use; no glass containers
  • Pets: Leash in common areas and clean up every time. Dog run bags are at the gate
  • Parking: Garage spaces are assigned. EV spaces are for active charging only (4-hour limit)
  • Packages: 24-hour lockers; oversized packages are held in the office. Pick up within 3 days
  • Call rooms: Book up to 2 hours at a time in the portal
  • Maintenance: Submit requests through the portal so we can track and respond quickly; use the emergency line for urgent issues after hours

Renewal Context

For resident platforms to use in renewal outreach. Framing reflects management’s intent.

The goal at renewal time is to help residents who love living here stay. The conversation should feel like an invitation, not a negotiation. Key messages:

  • We value long-term residents; many have been here since the building opened in 2019
  • We want renewal to be easy and worth it
  • If something isn’t working, now is a good time to tell us. We’d rather fix it than lose a great resident
  • Residents renewing for 12+ months can choose one: a free month of reserved garage parking or a professional carpet and window cleaning

Referral Program

Program Active: Yes
Referral Reward: $500 rent credit after the referred resident moves in and completes 60 days
How to Refer: The new resident lists your name and home number on their application

How to Add an Entry

When you update any file:

  1. Add a new line at the bottom of the log above
  2. Use the format: YYYY-MM-DD | [filename] | [brief description of change] | [operator / platform-name / auto]
  3. Be specific enough that someone reading this 6 months later understands what changed and why

Examples of good entries:

2026-10-03 | specials.md | Added winter special — $500 off move-in on 13-month leases through 2027-02-28 | operator
2026-10-06 | nurturing.md | Added objection response for "Are packages secure?" per signals.md | operator
2026-10-08 | signals.md | Demo Leasing AI submitted FAQ gap: storage unit availability | demo-leasing-ai
2026-10-10 | property.md | Updated studio base rent from $1,195 to $1,175 | operator

Examples of entries that are too vague:

2026-10-03 | specials.md | Updated | operator ← not specific enough
2026-10-06 | nurturing.md | Changes made | platform ← which platform?
